Privacy Policy.

The Alliance of South Asian American Labor (ASAAL) is of the community and for the community. That includes respecting the information our members and visitors trust us with. This page explains what asaal.org collects, why, how it is kept, and the choices you have.

Who we are. ASAAL is a non-profit organization of South Asian American workers, union members, professionals, and community activists, established in 2008, with chapters across the United States. Our national office is at 186-05 Jamaica Avenue, Queens, NY 11423. This policy covers the website at www.asaal.org and the forms on it. It does not cover the websites of other organizations we link to.

1. What we collect

We only collect information you choose to give us through the forms on this site. We do not buy data about you and we do not track you across other websites.

Membership applicationName, mailing address, email, phone numbers, union or local, chapter, committees of interest, the person who referred you, type of membership, how and whether you paid, and an optional photo.
Life Membership applicationEverything in the membership application, plus your spouse's name and phone and your children's names when you apply as a couple or family, a required photo of the Life Member, and optional photos of your spouse and children.
Convention registrationName, mailing address, email, phone, number of adults and children attending, chapter, organization, notes, and an optional portrait or group photo.
Sponsor applicationOrganization name, contact person and title, email, phone, website, industry, sponsorship level, programs of interest, comments, and any logo or artwork you upload.
Journal ad orderAdvertiser name, contact person, email, phone, website, industry, ad size, payment preference, ad text, and any artwork you upload.
Updates sign-up (newsletter)Email address and, if you give it, your name. We send a confirmation link first and add you only after you click it (double opt-in); we record when you confirmed and when you unsubscribe.

When you submit a form we also record the date and time, the internet address (IP) the submission came from, and the type of browser used. We keep these only to protect the forms against abuse and to investigate problems.

2. Why we collect it

  • To process your membership, Life Membership, convention registration, sponsorship, or journal ad, and to send you a confirmation by email.
  • To connect you with your ASAAL chapter and its officers.
  • To recognize members as they have asked to be recognized, for example Life Members listed on this site and in the convention journal.
  • To contact you about ASAAL activities, conventions, and membership matters.
  • To keep accurate membership and financial records, as any non-profit must.
  • To keep the website and its forms secure.

3. Photos

Photos you upload are stored privately on ASAAL's server and can only be viewed by authorized ASAAL officers. Where a form includes a permission box, we use your photo in chapter directories, on screen at events, on this website, or in ASAAL publications such as the convention journal only if you check that box. Life Member photos are used to recognize Life Members at the annual convention and on the Life Members page of this site, as described on the Life Membership form. You can withdraw permission at any time by contacting us, and we will remove the photo from future publications and from the website.

4. Payments

ASAAL never sees or stores your card or bank details. Online payments are handled by our payment provider at pay.asaal.org under that provider's own privacy policy. Zelle payments are handled by your bank. When you tell us on a form how you paid, we keep only what you wrote, for example a check number or a confirmation reference, so our treasurer can match your payment to your record.

5. Who we share it with

  • Your chapter. Membership and Life Membership applications are shared with the officers of the chapter you choose so they can welcome you.
  • The convention host committee. Convention registrations, sponsor applications, and journal ad orders are shared with the committee organizing the annual convention.
  • Service providers. Our website is hosted by GoDaddy and our email is provided by Microsoft. They store data on our behalf and are not permitted to use it for their own purposes.
  • Public recognition. Names of sponsors, Life Members, and elected chapter officers are published on this site and in ASAAL publications as part of how ASAAL recognizes its supporters and leaders.

We do not sell, rent, or trade member information to anyone. We do not share it with political campaigns, advertisers, or data brokers. We will disclose information if the law requires it.

6. Storage and security

Form submissions are stored in a database on ASAAL's web server in the United States, in a folder that is not reachable from the public internet, and are viewable only by authorized officers through a password-protected page. Connections to the site are encrypted (HTTPS). Forms are protected against automated abuse. No system is perfectly secure; if we ever learn of a breach affecting your information, we will tell you and the authorities as the law requires.

7. How long we keep it

  • Membership and Life Membership records are kept for as long as you are a member and for the period required for our organizational and financial records afterward.
  • Convention registrations, sponsor applications, and journal ad orders are kept for the records of that convention.
  • Contact messages are kept until your question is answered and for a reasonable period afterward.
  • Technical records (IP address, browser type) are kept for a short period for security only.

8. Your choices

You may ask us at any time to see the information we hold about you, to correct it, to remove your photo, or to delete your record where we are not required to keep it. You may unsubscribe from ASAAL updates at any time with the link in each email or at asaal.org/newsletter.html; we stop sending immediately and keep only a record that you opted out so we do not add you again by mistake. You may also ask us to stop contacting you about ASAAL activities. Email asaalNational@asaal.org or write to the address below, and we will respond within 30 days. Residents of states with privacy laws that grant additional rights may exercise those rights the same way.

9. Cookies and third-party services

asaal.org does not use advertising or analytics trackers. The site stores a small amount of information in your own browser to remember your theme preference and whether you dismissed a notice; nothing in it identifies you and it is never sent to us. The officers' administration page uses a session cookie to keep you signed in.

Some pages load resources from third parties, which may receive your internet address when they are loaded: Google Fonts (typefaces), Google Maps (the map on the Getting There page), and jsDelivr (open-source libraries for the chapters map and the sponsor package viewer). Links to Facebook, X, Instagram, YouTube, and our payment provider take you to those services, which have their own policies.

10. Children

Our forms are meant to be completed by adults. Family memberships ask a parent or guardian for the names of children under 18 so the family can be recognized together; we collect no other information about children and never contact them directly.

11. Changes to this policy

We will post any changes on this page and update the date at the top. Significant changes will be announced to members.
